Calm and Tidy is committed to protecting the privacy and personal data of all whose data we are handling. This privacy notice aims to provide you with information about how and why we may be using information about you and how you can exercise the rights you have in law and how you can contact us if you have any concerns or queries regarding data protection.

We are registered with the Information Commissioner’s Officer (ICO) as required by the Data Protection Act 1998.

How and what information I collect from you

Information will be collected about you from initial enquiries or contact forms. Further information may be collected during face-to-face and/or virtual meetings.

  • Name, address, and contact details which will include telephone numbers and email addresses.
  • Personal information such as date of birth and details of next of kin.
  • Details of other members of your household.
  • Details of health, should you deem such information relevant.
  • Any other information you deem pertinent in order for us to offer a high-level and successful service to you.
  • Any feedback or comments that you have provided based on our services to you.

Why we require the information collected and how it will be used

  • To enable us to undertake and perform obligations and duties to you in accordance with the terms of our contract with you.
  • To enable us to provide you with the services and information which you have requested.
  • For billing and communication purposes.
  • To analyse the information in order to administer and support the services we offer.

All information you provide us will be treated in the strictest of confidence.

We may disclose information to other third parties who act for us for the purposes set out in this notice or for purposes approved by you, including the following:

  • Service providers such as IT experts
  • Professional advisers such as lawyers, accountants, auditors, and insurers
  • Government bodies that require us to report processing activities

Unless required to do so by law, we will not otherwise share, sell or distribute any of the information you provide us without your consent.

Transfers outside the UK

We may transfer your information outside the UK and/or EEA. This is because information stored on our computers may be backed up on servers located outside the UK or EEA. We will ensure adequate safeguards are in place to protect your information in accordance with this Privacy Notice, including the use of a reputable data backup service.

We will ensure that all information you give us in kept in a secure and safe place.

Data Retention

We will only hold information about you for as long as we need to hold it, based on the following:

  • For as long as you continue to use our services or as set out in any relevant contract that we have with you. Once we have fulfilled our services we may hold a limited amount of your information for up to six years in line with the Limitations Act before securely deleting it.

Your Rights

  • You have the right of access to the information we are holding about or concerning you.
  • If you feel that any information we hold about you is inaccurate you have the right to ask us to correct any inaccuracies.
  • You have the right to request that we delete personal data that we hold of yours provided you are able to demonstrate that the data we hold is no longer needed by us.
  • You have to right to object to receiving any marketing communications from us.
